Elected Positions

President
The job of the President is to establish our goals for the year and to work closely with the Thornton PTSA Board to achieve them. The president prepares a master calendar that includes the executive board meetings, association meetings, and all PTSA sponsored events. The President also directs the board in compliance to the bylaws and ensures that PTSA budget is maintained.  The president is also responsible to attend monthly district meetings with Fremont Council PTA. The President will maintain a binder of the work done throughout the year and will pass it on to the next year's President.

Secretary
The Secretary records meeting minutes from all PTSA meetings and presents them for approval at the following meeting.  The minutes are distributed to the board prior to the following meeting for review and guidance of action items. The secretary keeps an accurate record of all minutes and insures that they have been voted on and approved.  This position also is responsible for approving expenditures in accordance to the approved budget.  The Secretary will maintain a binder of the work done throughout the year and will pass it on to the next year's Secretary.

1st Vice President - Programs
The 1st VP of Programs is responsible for reviewing and overseeing the scheduling and execution of the all PTSA sponsored projects. The job is to assist with program plans to ensure they are adequately staffed and running smoothly. This 1st VP is also responsible for helping the following chairs: 8th Grade Chair, Dance Chair, Health & Safety Chair, Hospitality Chair, Maze Day Chair, Parliamentarian, Reflections Chair, Volunteer Coordinator and Web/Publicity Chair. The 1st VP of Programs will maintain a binder of the work done throughout the year and will pass it on to the next year's 1st VP of Programs.

2nd Vice President - Membership
The 2nd VP of Membership is responsible for promoting membership of the Thornton PTSA to students, their families, teachers and staff.  This job includes distributing membership documentation, collecting membership dues and distributing Membership Cards.  The 2nd VP of Membership ensures that deposits of dues are done promptly and cards are distributed in a timely manner. Accurate documentation of the number of members, their names and their unique ID number should be kept in a binder.  The 2nd VP of Membership works closely with the Treasurer to ensure all dues received paid and processed. The 2nd VP of Membership will maintain a binder of the work done throughout the year and will pass it on to the next year's 2nd VP of Membership.

3rd VP - Fundraising
The primary responsibility of the 3rd VP of Fundraising is to oversee all fundraising efforts.  This may include all existing fundraising throughout the school year and well needs efforts as needs for that specific year.  These needs will be determined by PTSA board.  These include eScrip, Jamba Juice, and others. The 3rd VP of Fundraising will maintain a binder of the work done throughout the year and will pass it on to the next year's 3rd VP of Fundraising.

Treasurer
The treasurer maintains the PTSA financial records for the association.  The job includes preparing a yearly budget at the begging of the year.  On a monthly basis, the Treasurer will present a Budget and a Treasures Report at the PTSA meetings by reconciling bank statements.  The Treasurer also prepares, obtains approval and distributes checks to requestors. The Treasurer makes deposits and maintains records for money spent, received or reimbursed. The Treasurer will maintain a binder of the work done throughout the year and will pass it on to the next year's Treasurer.

Auditor
The auditor performs semi-annual audit in January and July. The Auditor reports to the Board and forwards the Audit Report with financial statements to Fremont Council PTA. The Auditor will maintain a binder of the work done throughout the year and will pass it on to the next year's Auditor.

Historian
The Historian documents all PTSA events and creates a summarization at end of each school year. The Historian is responsible for collecting all volunteer hours and reporting them to the Fremont Council PTA. The Historian will maintain a binder of the work done throughout the year and will pass it on to the next year's Historian.

 

Appointed Positions

8th grade Activities Chair(s)
The 8th Grade Activities Chair(s) will work closely with the Thornton Junior High Administration to create an end of the year celebration and activity for all 8th grade students.  There are usually two main events for 8th graders moving on to American High School.  The first event is 8th Grade Dance and second is the 8th Grade Social. The chair(s) will be required to procure volunteers via the Yahoo Groups, School Loop and the Volunteer Coordinator.  The chair(s) are responsible to coordinate many volunteers for both the social and the dance.  The 8th Grade chair(s) will create an overall theme, book a DJ for the dance, organize food and drinks for events as well as, potentially renting equipment for the social, and coordinating chaperones for the dance.  They will also manage a substantial budget provided by the generous donation of parents.  The goal of the chair(s) is to provide a great end of the year celebration for all of our out-going 8th graders! This chair(s) will maintain a binder of the work done throughout the year and will pass it on to the next year's 8th Grade Activities Chair(s).

Dance Chair

Working with the Thornton Junior High, the Dance Chair will assist in organizing all school dances.  This could include providing drinks, food, coat check and supervision of dances.  The chair can recruit volunteers via Yahoo Groups, School Loop and from the Volunteer Coordinator.  A budget for this position is available. This chair will maintain a binder of the work done throughout the year and will pass it on to the next year's Dance Chair.

Health & Safety Chair
The Health & Safety Chair works with the school to purchase, store and update emergency supplies to provide necessary water, food, shelter, and other important safety needs to students and staff in the event of emergency such as an earthquake.  This chair will maintain a binder of the work done throughout the year and will pass it on to the next year's Health & Safety Chair.

Hospitality Chair
The Hospitality Chair typically organizes two major events during the school year.  The first is a Welcome Back breakfast or luncheon for teachers and staff at the beginning of the year, often even before school starts.  The second event usually takes place during the week of National Teacher Appreciation Day. The job can include a theme, selecting a menu and procuring volunteers to help with providing food and drinks.  Prior approval from school administrator and notification of staff is essential.  The chair can recruit volunteers via Yahoo Groups, School Loop and from the Volunteer Coordinator.  A budget for this position is available. This chair will maintain a binder of the work done throughout the year and will pass it on to the next year's Hospitality Chair.

 

Parliamentarian

The Parliamentarian is responsible for PTSA meeting management and helping enforce the Rules of Order and the Thornton PTSA bylaws. The Parliamentarian also assembles the nomination committee and works with the nomination committee to select PTSA Board and Chairpersons. The major job of the Parliamentarian is to ensure all PTSA meetings stay on topic as well as to help capture new business topics that surface in discussions.  The Parliamentarian is also responsible for updating, modifying and/or changing the Thornton PTSA bylaws.  The Parliamentarian ensures that the association is following the rules in accordance to the bylaws. This chair will maintain a binder of the work done throughout the year and will pass it on to the next year's Parliamentarian.

Reflections Chair
The Reflections Chair is responsible for the PTSA Reflections program. The job include promotion of the program and stirring up interest in the school with posters, announcements and working with teachers. The job includes processing paperwork with the District PTSA office, submitting students work for judging, setting up school judges and selecting candidates to proceed to District, Regional and State PTSA judging sessions. This chair will maintain a binder of the work done throughout the year and will pass it on to the next year's Reflections Chair. 

Maze Day Chair

The Maze Day Chair will work closely with the President, 8th Grade Chair, Health & Safety Chair, 3rd VP of Membership, Web/Publicity Chair and Thornton Junior High administration to organize and facilitate the distribution of documentation to students and their families for Maze Day.  This chair is responsible for recruiting and scheduling volunteers during Maze Day(s) to answer questions, receive money for 8th Grade Activities, PTSA Membership, Health & Safety donations and book cover purchases.  It is the responsibility of the Maze Day Chair to ensure that proper procedures are followed with collection of money.  This position is required to start organizing the event weeks before the start of school.  The Maze Day Chair will maintain a binder of the work done and will pass it on to the next year's Maze Day Chair.  

 

Volunteer Coordinator

Create and provide Volunteer Form before the start of school to be distributed for Maze Day.  The Volunteer Coordinator will create and maintain an up to date database or spreadsheet and provide list of volunteers as needed to different chairs when required.  This person may be required to contact volunteers on behalf of different Program Chairs. This chair will maintain a binder of the work done throughout the year and will pass it on to the next year's Volunteer Coordinator.

Web/Publicity Chair

The Web Coordinator will maintain the Thornton PTSA as part of the school's main website.  This person will be required to change, update and maintain the website in a timely manner. This position will also send required flyers or other documentation to Mr. Hicks to be posted on School Loop.  The Web/Publicity Chair may also be required to contact appropriate news reporting organizations to gain recognition and awareness of the PTSA projects and programs as recommended by the PTSA board. This chair will maintain a binder of the work done throughout the year and will pass it on to the next year's Web/Publicity Chair.
